Quotation and invoice: what’s the difference, and how do I pay?

Billing 4 min read

At aWh, you will first receive a pro forma invoice for every order and renewal, and the invoice is only issued once payment has been made. The pro forma invoice is a payment request: it shows what you need to pay for, the amount due and the payment deadline. The invoice is the VAT-registered document for the service already paid for; this is the document your accountant must receive.

What’s the difference?

The invoice request

  • It is generated at the time of ordering or 15 days before the renewal payment deadline;
  • Payment details must include: the amount, the due date and the payment methods;
  • cannot be accounted for;
  • You can find this on the ‘Billing › Invoices’ page of the client portal.

The invoice

  • is generated automatically as soon as payment of the invoice is received;
  • The following is required for accounting purposes: a VAT invoice for the service provided;
  • You can find it on the ‘Billing › Invoices’ page of the client portal, where it can be downloaded.

We will send an email regarding both of these to the email address provided in the client portal. If you have paid the invoice but have not received it, please do not make another payment: check your spam folder and download the invoice from the ‘Invoices’ page in the client portal.

How can you pay?

On the ‘Invoice Requests’ page of the client portal, open the invoice request and select a payment method.

By credit card

When paying online by credit card, the payment is credited immediately and the invoice is generated straight away. You can also save your card details: in this case, the system will automatically deduct the renewal fee 5 days before the payment due date, so you do not need to make a separate payment every year. Saving your card details is not compulsory. The details are set out in the article on the renewal policy, whilst this article covers how to amend a saved card.

By bank transfer

You can pay by bank transfer in forints, euros (SEPA) and US dollars. The bank account number is shown on the invoice. To ensure your payment is credited quickly and automatically, please note the following:

  • Please enter the invoice reference number in the reference field, for example ‘#12345 invoice’. The system will match the payment to the invoice based on the reference.
  • Please transfer exactly the amount stated on the invoice, in the currency specified on the invoice. Payments of a different amount or those made without a reference can only be matched manually, which takes longer.
  • Multiple invoices in a single payment: enter all the reference numbers in the payment reference (for example, “#12345, #12346”) and pay the exact total amount of the invoices. The invoices must be linked to the same customer account.
  • Do not refer to the invoice reference number, as this is generated after payment. The reference number is always the invoice number.

The payment is credited to the billing system once the interbank processing time has elapsed, at which point the invoice is generated. If you are paying for a suspended service, the service will automatically be reactivated once the payment has been credited.

In whose name is the invoice issued?

The invoice is generated based on the billing details provided in the client portal at the time of payment of the invoice. Therefore, if the company name, registered office or tax number has changed, or if a sole trader has become a limited company, please update your details in your client portal profile before paying the invoice. The details on an invoice that has already been issued can only be amended retrospectively by cancelling the invoice and reissuing it; if this is necessary, please open a ticket. This article provides further details on whose details appear on the invoice.

Common scenarios

I paid for the same thing twice. Please do not make any further payments; instead, open a ticket with the details of the two payments (date, amount, reference), and we will discuss how to settle the overpayment.

I haven’t requested a renewal, but I’ve received a payment request. The system automatically generates the invoice before the expiry date. If you do not wish to proceed with the renewal of the service, do not pay the invoice and cancel the service; the cancellation procedure is described in the article on cancelling services.

The invoice is not arriving. Emails are sent to the email address provided for your client portal account. Please check your spam folder and ensure that the email address you provided is still active: if emails are being sent to an old, disused address, you may easily miss the service expiry date. Invoice requests are always available on the Invoice Requests page, even without an email. The article on renewal deadlines and reminders provides further details.

The card payment failed. The article on failed payments summarises the most common causes and what to do.
